Got a client meeting across the country and the travel logistics are killing me

I landed a big pitch meeting in another state, which is awesome, but I'm realizing how bad I am at planning work trips. Booking last minute flights and a hotel that has decent Wi-Fi for a video call I have to squeeze in is a total nightmare. How do you all handle travel costs when you're not even sure the client will sign? I'm worried I'll spend a ton just to get there and come back empty handed.

Derek_gonzalez is right about those flights being lottery tickets. You're gambling on non-refundable hotel rates too, and those "flexible" fares that actually cost double. I always check the cancellation policy first now, because you can get stuck paying for a whole room if your meeting moves. Sometimes you just have to eat the cost as a business risk, which feels terrible.

Ugh that sounds so stressful. I totally get the fear of spending all that money for nothing, it's the worst feeling.
